Our Policies, Terms, & Conditions

Cancellation & Refund Policy
Enrollment can be cancelled within 7 days of payment for a full refund (minus a 5% processing fee), provided the class has not yet started. Once the first class has begun, all payments become final and non-refundable, as instructor scheduling and student placements are confirmed in advance to maintain proper class ratios and smooth operations.
Exceptions: If a student must withdraw due to medical reasons, a valid physician’s note is required. An administrative fee of $20 will apply, and the refund will be pro-rated based on the remaining sessions.
Missed Days: For any missed classes, Chess Minds Calgary does not offer refunds or make-up days. However, students can review missed material through our online concept review videos and PDFs available on our website.
Personal Info/ Photo Release
Personal information provided during registration will be collected and protected under the Freedom of Information and Protection of Privacy Act (FOIP). This information is used to maintain enrollment records, communicate with registrants and parents, and support operational requirements in compliance with applicable federal and provincial legislation. A participant’s name or photograph may appear on the Chess Minds Calgary website (www.chessmindscalgary.ca) or official social media pages as part of general event highlights or recognition.
Medical Treatment Permission
If a participant requires immediate medical attention, the parent or guardian listed on the emergency contact form will be contacted. If the parent or guardian cannot be reached, the participant will be transported to the nearest emergency facility. All medical expenses incurred will be the responsibility of the parent or guardian.

Code of Conduct & Dismissal Policy
At Chess Minds Calgary, we strive to create a positive, respectful, and inclusive learning environment for all participants. Students are expected to treat instructors, classmates, equipment, and the facility with respect and to conduct themselves in a manner that supports a focused and enjoyable learning experience. If a student repeatedly engages in behavior that is disruptive, disrespectful, or inappropriate for a classroom setting, despite several warnings, Chess Minds Calgary reserves the right to dismiss the student from the program without a refund. This includes behaviors that significantly disrupt the learning environment for others or require ongoing one-on-one supervision beyond what can be reasonably provided in a group setting. This policy ensures that all students can benefit from a safe and productive learning environment.
Student Support & Program Fit
Chess Minds Calgary aims to support students with diverse learning needs within our group class environment. Families are encouraged to share any relevant information in advance so we can determine appropriate supports.
Our classes are structured with one coach supporting multiple students. All participants are expected to engage in a way that allows the group to learn effectively. In some cases, a student may require a level of individual support or supervision that exceeds what can be reasonably provided in this setting. When this occurs, we will communicate this with families and determine next steps regarding the student's participation in the program.

Parent/Guardian Presence
To maintain a focused and consistent learning environment, parents/guardians are not permitted inside the classroom during sessions. Parents are welcome to remain in the facility and will be contacted if any support is needed.
General Terms
Chess Minds Calgary reserves the right to update or modify these terms and conditions at any time to ensure the safety and integrity of our programs. Any updates will be communicated to enrolled families as needed.
