Our Policies, Terms, & Conditions

Chess Federation of Canada (CFC) Rating Policy

All tournament results will be submitted to the Chess Federation of Canada (CFC) for official rating purposes. To participate, each player must have a valid CFC ID. If your child does not already have one, you can create a free account at https://cfc.justgo.com/, which will assign a 6-digit CFC number. Please ensure that the CFC information (name, birthdate, and ID number) provided during registration is accurate, as it will be used for official pairings and rating updates. Providing inaccurate information may result in rating errors or removal from the event.

Chess’n Math Association

Chess Minds Calgary collects additional information such as each player’s school name and grade level to register them with the Chess’n Math Association, which maintains chess ratings for players across Canada. All participants in our tournaments, not only Chess Minds Calgary students, will automatically receive a national rating based on their tournament performance(s) and will become ranked players for their grade level in Canada.

Cancellation & Refund Policy

Tournament registrations can be cancelled within 3 days of payment for a full refund (minus a 5% processing fee), provided the event has not yet started. After the 3-day cancellation period has passed or once the event has begun, all payments become final and non-refundable, as player pairings, ratings submissions, and event logistics are finalized in advance.

No-Shows: Players who do not attend the event, regardless of whether notice is given, are not eligible for a refund or credit, as tournament logistics and pairings are finalized in advance.

Event Changes: If Chess Minds Calgary must cancel or reschedule a tournament, all participants will receive either a full refund or have the option to keep their registration secured for the rescheduled date or transfer it to a future event.

Personal Info/ Photo Release

Personal information provided during registration will be collected and protected under the Freedom of Information and Protection of Privacy Act (FOIP). This information is used to maintain enrollment records, communicate with registrants and parents, and support operational requirements in compliance with applicable federal and provincial legislation. A participant’s name or photograph may appear on the Chess Minds Calgary website (www.chessmindscalgary.ca) or official social media pages as part of general event highlights or recognition.

Medical Treatment Permission

If a participant requires immediate medical attention, the parent or guardian listed on the emergency contact form will be contacted. If the parent or guardian cannot be reached, the participant will be transported to the nearest emergency facility. All medical expenses incurred will be the responsibility of the parent or guardian.

Claim Release

Chess Minds Calgary is not liable for any personal injuries, property damage, or lost/stolen items while participating in any chess activity, including classes, tournaments, camps, or other events, whether on-site or off-site.

Photography and Media Consent

By enrolling in and participating in any programs, events, or activities organized by Chess Minds Calgary, you grant Chess Minds Calgary the right to take photographs and/or video recording of your child during these activities. These images and recordings may be used by Chess Minds Calgary for promotional and marketing purposes, including but not limited to posting on our website, social media platforms, and other promotional materials. By participating, you acknowledge that these images and recordings are the property of Chess Minds Calgary and may be used without any compensation to your or your child. If you wish to opt out of this consent, please contact us in writing prior to the start of the program or event.

Code of Conduct & Dismissal Policy

At Chess Minds Calgary, we strive to create a positive, respectful, and inclusive environment for all participants. Players are expected to treat tournament staff, opponents, equipment, and the facility with respect and to conduct themselves in a manner that supports a focused and enjoyable experience for everyone. If a player repeatedly engages in behavior that is disruptive, disrespectful, or unsportsmanlike for a tournament setting, despite several warnings, Chess Minds Calgary reserves the right to dismiss the player from the tournament without a refund. This policy ensures that all participants can benefit from a safe and sportsmanlike competition environment.

General Terms

Chess Minds Calgary reserves the right to update or modify these Terms and Conditions at any time to ensure the safety, fairness, and integrity of our programs and events. Any updates will be communicated to registered participants as needed.
